An Easy Way to Track Home Care Task Reassignments and Missed Visits


Knowing which visits were filled and which were missed is a fundamental building block of a care-at-home organization’s success. However, tracking and compiling this amount of information per caregiver can often be tedious and time consuming.

An intuitive home care software will offer analytic features that automatically gather data on which caregivers cancelled or were reassigned, providing valuable insights into caregiver performance, client satisfaction and staffing shortcomings.

Task Reassignment Tracking

Reassignments occur when a caregiver has committed to a visit but is unable to perform the visit, so another caregiver is assigned. Tracking reassignments can assist organizations in evaluating their caregivers’ reliability and performance.

When reassigning a scheduled task in Axxess Home Care with the Task Reassignment Tracking feature, users can select the reassignment type and reason to appear in the task’s details. Users can also enter customized reasons for task reassignments in Company Setup.

The reassignment reasons entered in Company Setup will appear on the scheduling screens when reassigning tasks. Additionally, the reason type for all tasks reassigned will appear in the employee’s Visit Tracking report.

By facilitating seamless reassignment tracking, this functionality streamlines scheduling processes and enables organizations to better monitor employee performance, evaluations and unemployment claims for continued compliance and optimal client care.

Missed Visit Tracking

Missed visits, or scheduled visits that cannot be filled by a caregiver, can be the greatest crisis a care-at-home organization faces if not monitored. Clients can become increasingly frustrated and even choose to leave an organization due to missed visits.

With the Missed Visit Tracking feature, when a visit is missed, users can select a missed visit type and reason.

Tracking missed visits can assist organizations in evaluating their caregivers’ reliability and performance, as well as provide valuable information when communicating with clients about scheduling and maintaining compliance during audits.

Much like the Task Reassignment feature, users can also enter customized reasons for missed visits in Company Setup. The missed visit reasons entered in Company Setup will appear on the scheduling screens when completing a missed visit form. The reasons will also appear in the employee’s Visit Tracking report.

The data gathered from employees’ Visit Tracking reports can be used to analyze key performance indicators (KPIs) for each caregiver, which are measurable values on whether objectives have been met.

It can also assist organizations in identifying which caregivers need more training on a specific task or visit type.

Exceeding expectations when dealing with caregivers can be difficult, but automated data features will help take the leg work out of analyzing trends, enabling organizations to fix a problem before it affects a client.
