Claim notes provide easy-to-use messaging tools so billers can track historical progress of individual claims. Agencies can use claim notes to maintain appropriate internal documentation from billing screens where supplemental notes can be entered and modified. This functionality streamlines follow-up, collection and reconciliation of all bill types.
To access claim notes, users must have permission to access the Billing Center.
Claim Note Permissions
To give a user permission to access the Billing Center, navigate to the Permissions tab in the user’s profile. Select Access Billing Center in the Billing section of permissions. Click Save to finish granting the user permission to access the Billing Center.

Add Claim Notes
Once the permission is enabled, users can access claim notes from the Billing Center, Pending Claims, Claims History, RAP Claims, Final Claims and Managed Care Claims.
Billing Center
When there are no claim notes documented, the third sticky note icon appears white in the Billing Center. Select the claim note icon to add a claim note.
When at least one claim note is documented, the third sticky note icon appears blue in the Billing Center.
Hover over the note icon to display the claim note’s details. Select the note to enter additional documentation.
Pending Claims
When there are no claim notes documented, the third sticky note icon appears white on the Pending Claims screen. Select the claim note icon to add a claim note.
When at least one claim note is documented, the third sticky note icon appears blue in Pending Claims.
Hover over the note icon to display the claim note’s details. Select the note to enter additional documentation.
Claims History
The Claim Note button appears under Actions in both Medicare and Managed Care Claims History windows.
Select Claim Note to view, add, edit or delete claim notes.
RAP Claims
Users can select the Claim Notes button at the top of a RAP to add claim notes.
Final Claims
In Step 1 of 4 of a Final Claim, users can select the Claim Notes button at the top of the screen to document a claim note.
Managed Care Claims
In Step 1 of 5 of a Managed Care Claim, users can select the Claim Notes button at the top of the screen to document a claim note.
Edit/Delete Claim Notes
Editing Claim Notes
Select Edit in the top right corner of a claim note to update documentation in the note. Users cannot edit other users’ claim notes.
The date stamp on the claim note will automatically update when modifications are saved.
Deleting Claim Notes
Select Delete in the top right corner of a claim note to discard the note. Users cannot delete other users’ claim notes.
